What are my privacy rights as a Payroll/HR manager at work?
Our company is building us new offices and as a payroll/Human Resources manager I’ve always been in a locked office with locking cabinets. The owners insist I can maintain in a cubicle surrounded by our entire accounting dept. and buyers office in one big open office. Isn’t that some kind of breach of a privicy act for my employees when I am working payroll or discussing HR issues. I am not opposed to a cubicle, I just don’t want to breech a privacy act and be at fault. Some people overhear and can’t keep their mouths shut about other people business. I have already had one incident with an employee overhearing personal information and repeating it.
All of my employees are at our Retail stores state wide. My work is done over the phone and I need access to my files and computer during phone meetings.
Do you have a conference room? When HR went to cubicles, the conference room became overworked. Never discuss personal items in the open, deal with it the same as you would a disiplinary action.
What we did is put in higher walls around the HR person and they locked their screen when they left so that it would need a password to log back in (on windows machines it is the window key and L at the same time). Also, a memo was sent out requesting a meeting in the conference room if an employee had confidential info to discuss.
I am unsure about the requirements of the privacy act, but we never had a conflict or confidential information leak.
